What DigiKeep does, feature by feature

The home page summarises six capabilities. This is what each one actually does when a renewals book runs through it.

AI data cleanse

Every meter and customer is scrubbed, validated and enriched the moment it lands — so bad data never costs you a renewal.

  • Meters are verified against industry data on import, so an MPAN or MPRN that does not exist is caught before anybody tries to price it.
  • Missing meter characteristics — distributor, profile class, meter timeswitch code — are filled in from the industry record rather than chased by email.
  • A meter that cannot be priced says why, naming the reason, instead of failing silently and sitting in the book unsold.
  • Duplicate customers and meters arriving in the same upload are reconciled rather than doubled.

Automated renewal journeys

Renewal, reminder and second-reminder emails fire on perfectly-timed batches. Never miss a contract end date again.

  • A campaign sends across 3 stages — a renewal and two reminders — each scheduled independently against the contract end date.
  • Emails go out in batches on a schedule you set, so a book of thousands is not sent in one burst that trips a spam filter.
  • Renewal emails are composed from 9 block types, so wording, ordering and branding are yours without a developer.
  • Delivery, opens, clicks and failures come back from Mailgun and land on the meter, so a wrong address is visible rather than assumed read.
  • A meter leaves the sequence the moment it is sold or marked unsellable, so nobody is chased after the deal is done.

A pipeline built to close

Track every meter from unverified to sold and shape a sales flow that matches how your team actually wins renewals.

  • Every meter has a position in the funnel, from unverified through priced and quoted to sold, and can be filtered and worked on from there.
  • Interactions and outcomes are logged against the customer, and a team lead can reassign who owns one.
  • Discounts can be requested against a meter and approved or rejected by whoever holds that right, with the decision kept on the audit trail.

DocuSign e-signatures

Native DocuSign takes you from quote to signed contract in minutes, with every status tracked end to end.

  • The contract is generated from the quote the customer accepted, with their own details and prices already on it.
  • The customer reviews it as a PDF in the browser before anything is sent for signature.
  • Signing happens in DocuSign, so the signature and its audit certificate are held by DocuSign rather than by us.
  • Envelope status is mirrored back as it changes, and the signed PDF and the sale land against the meter without rekeying.

Access control, baked in

Role-based permissions from day one. Give every teammate exactly the access they need — and nothing they don't.

  • 16 separately grantable rights, so reporting, pricing uploads, campaign settings, sales and finance are each given out on their own.
  • Two-factor authentication is required of every member before they can reach anything, with recovery codes issued for a lost device.
  • A finance-only member is held to the finance screens and cannot reach the renewals book at all.
  • 53 distinct events are written to a meter's audit trail, so who did what, and what the customer was told, is a matter of record.

Live renewals dashboard

Real-time metrics and a full audit trail on every meter, campaign and customer — one source of truth for the whole book.

  • A dashboard for the day: what is due, what has gone out, what came back and what needs a decision.
  • Campaign reporting on sends, opens, clicks, quotes and sales, per stage rather than in aggregate, so you can see which reminder is doing the work.
  • Every meter carries its own history, so anybody picking up an account can see exactly what that customer has already been sent.
  • Finance reporting reconciles what was sold against the commercial deal it was sold under.

Licensing

Not every supplier wants every part of it

5 parts of the platform are licensed separately, so a supplier turns on what they need and is not charged for what they do not.

Which of these is right for your book is a conversation rather than a pricing table — see the FAQ for what determines the figure, or the integrations for what it connects to.
