How it works
From a book of meters to a signed contract
A renewal run in DigiKeep has three stages. This is what happens at each of them, in the order it happens.
-
1
Step one
Import & cleanse
Drop in your book of meters. Our AI verifies, enriches and de-dupes every record automatically.
- Upload the book as a spreadsheet in whatever format your team already keeps it in — an import map is written for your columns, so you do not reformat anything.
- The upload is previewed before it commits, listing which rows will be created, which will be skipped and why.
- Password-protected workbooks are handled directly: supply the password with the file and DigiKeep decrypts it.
- Each meter is then verified against industry data and its missing characteristics filled in, so it is ready to be priced rather than ready to be chased.
-
2
Step two
Engage & track
Automated journeys nurture every renewal while your team works a pipeline built for closing.
- Load the rate book against the campaign and set when each of the 3 stages should send relative to the contract end date.
- Emails go out in scheduled batches under your own brand, from your own sending domain, linking to your own domain.
- Deliveries, opens, clicks and bounces come back and land on the meter, so the team can see who has read what.
- Agents work the pipeline alongside the automation — logging calls, requesting discounts, and picking up callbacks the customer asked for.
-
3
Step three
Quote & close
Price, quote and sign with DocuSign — then watch the renewal land, on time, every time.
- The customer opens their link and sees live prices for their own meter, priced when they arrive rather than when the email was sent.
- They choose a term, confirm their details and review the contract as a PDF, all in the browser.
- They sign in DocuSign. The signed contract and the sale come back to the meter automatically.
- If they would rather talk, the same page takes a callback request — and records that they asked, so whoever rings back knows what they have already seen.
The customer's view
What your customer sees
Every page the customer touches carries your brand on your own domain. DigiKeep is never mentioned to them.
-
1
An email from you
Sent from your own sending domain, worded and branded by you, linking to your own domain rather than ours.
-
2
Their own prices
The link opens a page priced for their meter, at the moment they arrive — not at the moment the email was sent.
-
3
A contract to read
They pick a term, confirm their details, and review the generated contract as a PDF before anything is signed.
-
4
A DocuSign signature
They sign in DocuSign. The signed contract comes back to you automatically, and the renewal is done.
A customer who would rather talk to somebody can leave a callback request on the same page. It is recorded against their meter, so whoever rings back already knows which prices they were shown and how far through they got.
Getting started
What onboarding involves
We map your data
You send a sample of your book and your rate book in the format you already keep them. We write the import maps for your columns, so nothing on your side is reformatted.
We connect your accounts
Your DocuSign account for signing and your sending domain for email, so contracts and renewals go out as you rather than as us.
We set up your team
Members are invited with the permissions they need, two-factor authentication is enrolled, and your brand and domain are configured.
More detail on the platform itself is on the platform page, and on what it connects to under integrations.
Let’s grow your renewals book.
Book a 20-minute call with our sales team. We’ll walk your data through DigiKeep and show you the renewals you’re leaving on the table.
